What personal data we collect and why we collect it

This notice applies to all information collected or submitted to the Yoga for Health and Education Trust website. On the website, you can pay your annual membership fee, make a donation or pay for an event you wish to attend. The types of personal information collected are: Name, Personal account preferences, Address. Transactional data, Date of birth, Dietary requirements, E mail address, Health requirements, Phone number.

Event Bookings

For event bookings, the requested data will also be held by the events co-ordinator and relevant booking secretary. If you are required to provide health information as part of an event booking, we will ensure that this is kept confidential and held until after the event. This data is required to ensure we offer a suitable and safe environment and yoga sessions for the event attendees.

For those who elect to pay for membership, events or send donations by cheque, payment details will be held by our membership secretary and treasurer until the cheque has cleared and the transaction is completed. By choosing to pay in this way, you are giving your consent for this data to be held for the period required.

Expense claim forms include the claimants’ bank details. These forms are sent to the accountant to enable completion of our accounts. These forms will be deleted from our records at each financial year end.

It is your decision what data you wish us to hold. However this may impact on any individual service we can provide and what information/updates we can share with you.


Information held from reviewing an event will be the name of the contributor submitting the review, the tutors, the venue where the event was held and photographs taken during the event. All attendees and tutors are given the option on whether they wish to be photographed.

Media and Content

By providing YHET with articles and other content including photographs for inclusion in the magazine you are giving us your consent to publish this information in our magazine and on our website where it is available to download. Most information on the website is publicly accessible.

If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.

Contact forms

Information submitted through the contact form, name, email address and attached message, will only be used for responding to your enquiry and deleted when a response has been sent. We never use your personal data for marketing purposes or share with a third party unless you have given your consent.


If you leave a comment on our site you may opt-in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.

If you have an account and you log in to this site, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.

When you log in, we will also set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year. If you select “Remember Me”, your login will persist for two weeks. If you log out of your account, the login cookies will be removed.

If you edit or publish an article, an additional cookie will be saved in your browser. This cookie includes no personal data and simply indicates the post ID of the article you just edited. It expires after 1 day.

Embedded content from other websites

We may occasionally share content such as videos and articles from other websites which we consider will be of benefit to our users. These websites may monitor interactions with that embedded content, including tracing interactions with this content if you have an account and are logged into the other website (for example Google or Facebook).


The YHET web hosts use log files. This information may include internet protocol (IP) addresses, browser type, internet service provider (ISP), referring/exit pages, platform type, date/time stamp, and number of clicks to analyze trends, administer the site, track user’s movement in the aggregate, and gather broad demographic information for aggregate use. However, none of the information stored in our log files, including but not limited to IP addresses, is linked to personally identifiable information.

Who we share your data with

Some data is shared with the following as appropriate: Event venues, Payment processors, our banking provider, accountant, web hosting company, website developer and support providers and our mailing list provider.  Selected data is shared with event venues to enable us to provide suitable accommodation and dietary requirements to attendees.

How long we retain your data

If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognize and approve any follow-up comments automatically instead of holding them in a moderation queue.

For users that register on our website (if any), we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.

The details you enter when you register on our website will be retained until such time as you ask for the data to be removed or you unsubscribe from our mailing list.

When you register for an event your personal data will be held on our website.

Any other information given that relates specifically to the event will be deleted following that event. This includes any health information or dietary requirements that we have requested.

No information will be retained by the venue following the event.

If you are registered on our website you can access all your personally identifiable information that we hold and are able to amend your data by logging onto our website and editing your profile. To protect your privacy and security, we will also take reasonable steps to verify your identity before granting access to making corrections.

Volunteers with administrative access are also able to see and amend your data.

What rights you have over your data

If you have an account on our website or have attended a YHET event, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal or security purposes.

Where we send your data

No transfers of site data are made outside the European Union.

How we protect your data

Our website provider will use technical measures such as encryption. All volunteers with administrative access to the website will be made aware of data protection procedures, and specifically the new General Data Protection Regulation.

What data breach procedures we have in place

Every precaution is taken to ensure that your data is safe. However in the event of a data breach this should be referred to the current trustee responsible for compliance and complaints who can be contacted via our admin email address.

We do not receive data from third parties or use any automated decision making and/or profiling with user data.
